Strata Hub enquiries - privacy collection notice

Who we are

Your information is being collected by the Department of Customer Service (the Department) on behalf of the Commissioner for NSW Fair Trading. NSW Fair Trading gives priority to protecting the privacy of your personal information, in accordance with the Privacy and Personal Information Protection Act 1998 (PPIP Act).

Why we collect your personal information

NSW Fair Trading is collecting your personal information for the purposes of receiving, tracking, managing and resolving system support requests and enquiries relating to the use of the Strata Hub.  These requests and enquiries are added to the agency’s Strata Hub enquiry system.

The kinds of information we collect

We may collect the following information:

  • Your first and last name and contact details (email and phone number)
  • Any additional personal information if it is captured when you raise your enquiry either via email to Strata Hub Customer Support or if you contact Service NSW and your enquiry is provided to Strata Hub Customer Support.

Failure to provide information

Your information is provided voluntarily however if you do not provide your information, we may not be able to contact you to resolve your issue or enquiry.

How we may use this information

We may use the information we collect in the following ways:

  • To contact you in relation to your issue or enquiry
  • To record your communications within our Strata Hub enquiry system
  • Internal administrative purposes including compliance, investigations and enforcement of the legislation administered by NSW Fair Trading, including the Fair Trading Act 1987.
  • If you are registered with the Strata Hub, we may use your registration details to populate your name, email address and Strata Managing Agent licence number in the enquiry system.
  • To support more informed policy making, program management, evaluation, research, and service planning as it can facilitate more efficient service delivery for residents and businesses in NSW.
  • Other directly related purposes.

Who we may share your information with

We may store the information you provide on external platforms, including Pega systems. Pega support staff may have access to this information if required for support purposes.

We will not disclose your personal information to anybody unless we are authorised or permitted to do so by law or where you give consent. Our Privacy Statement describes when this may occur.

Service NSW

Service NSW may collect and use your personal information if you raise an enquiry regarding the Strata Hub the Service NSW call centre.

Service NSW may use your information for the following purposes:

  • To assist you with your enquiry
  • Share details with NSW Fair Trading.

Service NSW also maintains and uses your personal information for internal administrative purposes, including for the purposes of our interactions with you.

Protecting your information

We will store and manage your information in accordance with the provisions of the PPIP Act. We have measures in place to help protect your personal information from loss, unauthorised access, use, modification, disclosure, or other misuse.

We will only keep information for as long as we need it to fulfil the purposes we collected it for. After which, the information will be disposed of securely in accordance with the State Records Act 1998 and any other applicable legislation.
